("Company," "we," "us," or "our") collects, uses, and discloses information when you use ProTeams (the "Application"), our website at https://www.proteams.io (the "Website"), and related services (collectively, the "Service"). It also explains your rights and choices.

Our customers may provide us with employee or workforce contact information (such as names, email addresses, and phone numbers) for the purpose of:

  • Inviting employees to access the Service

  • Supporting scheduling, Proof of Service, and operational workflows

We process this information solely on behalf of our customers and according to their instructions.

2.3 Payments

If you purchase paid features, payments are processed by third-party payment processors (such as Stripe or PayPal). We do not store full payment card numbers, government IDs, or banking credentials.

2.4 Usage Data

Usage Data is collected automatically and may include IP address, device type, browser type, timestamps, and diagnostic data.

2.5 Location & Media Data (Application Only)

With device permission, we may collect:

  • Location information to support Proof of Service and Start Work / End Work verification
  • Photos or media submitted as Proof of Service

Location data is collected only at specific, user-initiated moments and is not used for continuous or real-time tracking. Users may disable permissions through device settings, though some features may not function.

We use Personal Data to:

  • Provide and maintain the Service
  • Manage accounts and permissions
  • Send service-related communications
  • Request and process payments
  • Improve performance and security
  • Comply with legal obligations

4. Communications

4.1 Service & Transactional Communications

We may use email and, where enabled, SMS to send service-related messages such as:

  • Payment requests and invoices
  • Account notifications
  • Security alerts
  • Operational notices

These messages are transactional, not marketing, and may not be optional.

4.2 Marketing Communications

We may send marketing emails regarding new features, services, or promotions. You may opt out at any time using the unsubscribe link. Opting out does not affect service communications.

4.3 Lead Generation & Third-Party Data

We may obtain business contact information from third-party data providers or publicly available sources for B2B sales outreach and marketing, where permitted by law.

5. SMS and Customer-Controlled Messaging

proteams.io provides tools that allow customers to communicate with their own employees via SMS where enabled. ProTeams Software Services LLC. does not initiate SMS marketing messages.

Customers are responsible for obtaining recipient consent and complying with applicable laws. All SMS messages must support SMS-native opt-out (e.g., replying STOP).

Message records, including delivery data and metadata, may be retained by messaging providers and mobile carriers for compliance, operational, or legal purposes. ProTeams does not guarantee deletion of SMS records held by third parties outside its control.

6. Cookies, Analytics & Preferences

We use cookies and similar technologies for essential functionality, security, analytics, and performance. Users may control non-essential cookies via browser settings and privacy controls.

7. No Sale or Sharing of Personal Information

We do not sell personal information or share it for cross-context behavioral advertising. Service providers process data only under our instructions and contractual restrictions.

8. Data Retention

We retain Personal Data only as long as necessary to provide the Service, meet legal obligations, and enforce agreements.

8.1 Account Deletion and Data Removal

Customers may request deletion of their account and data directly through their ProTeams account settings. Upon receiving a deletion request, ProTeams will permanently delete all Personal, Company, Client and Employee Data under its control within 14 days.

Certain data may be retained where necessary to:

  • Comply with legal, regulatory, tax, or accounting obligations
  • Maintain security, prevent fraud or abuse, and enforce agreements
  • Preserve audit logs and system integrity
  • Support dispute resolution

Account deletion does not automatically require immediate deletion of all data.

8.2 Backup, Archival, and Residual Data

Deleted data may persist for a limited period in encrypted backups, disaster recovery systems, or archival storage. Such data is not actively processed and will be securely deleted or overwritten in accordance with ProTeams’ data retention schedules.

8.3 Customer-Provided Workforce Data

Employee and workforce data uploaded by customers is processed solely on the customer’s behalf. Upon account termination, such data will be deleted in accordance with customer instructions, subject to legal, security, and backup retention requirements.

9. Third-Party Service Providers and Independent Data Retention

ProTeams uses third-party service providers to support payments, communications, infrastructure, analytics, and security.

Payment Processing:
Payments are processed by third-party payment processors (such as Stripe or PayPal). These providers maintain their own records and are subject to independent legal, tax, and regulatory retention requirements. ProTeams does not control the retention or deletion of such records.

SMS and Communications Providers:
SMS, email, and communication services (including providers such as Twilio and telecommunications carriers) may retain message content, metadata, timestamps, sender and recipient information, and delivery records for compliance, fraud prevention, or operational purposes. ProTeams does not control these independent retention practices.

Deletion Limitation:
Deletion requests apply only to data under ProTeams’ direct control and do not override independent third-party retention obligations.

10. U.S. Privacy Rights

Depending on your state, you may have rights to access, correct, or delete your information. Requests may be submitted using the contact details below.

11. Canada (PIPEDA)

If you are located in Canada, we collect, use, and disclose Personal Data with your knowledge and consent. Data may be processed outside Canada, including in the United States.

12. Children

The Service is not directed to children under 13, and we do not knowingly collect their data.
