Free cleaning business software comes in four forms: a spreadsheet with a group chat, a free plan from a general workforce app, a free plan from a cleaning-specific tool, and a free trial of paid software. All four cost nothing to start. Each one stops working at a different crew size, and for most commercial cleaning companies the break comes somewhere between 4 and 10 cleaners. Past 10, every free option either runs out of seats or runs out of the features that tell you whether last night's shifts actually happened.
I built ProTeams after running crews at ProCleanings in New York and Verdant in Texas, and ProTeams has a Free plan, so weigh this accordingly. I'll show you where our Free plan stops as plainly as anyone else's. If I didn't, you'd find out on the pricing page anyway.
Free software is the right call until a limit costs you more than the upgrade would. The useful question is at what crew size each one stops working.
What counts as free cleaning business software?
Free cleaning business software is any tool you can use to schedule crews, track work, or prove service without paying a monthly fee. That includes spreadsheets, free plans with user or site limits, and free trials that end after a set number of days.
The four forms aren't equal. A spreadsheet's free forever and does nothing on its own. A free plan is free forever with limits on users, sites, or features. A free trial gives you everything, but only for a few weeks. Knowing which one you're looking at saves you from building your operation on something that disappears on day 15.
One more filter. A lot of what shows up when you search "cleaning business software free" is built for home cleaning: booking pages, one-off visits, homeowner quotes. Commercial work runs on recurring night shifts, multiple buildings, and proof for facility managers. Check that a free tool was built for that before you move your crew onto it.
When does free cleaning software stop being free?
Free cleaning software stops being free when your crew outgrows its user limit or your operation outgrows its features. For most free options, that happens between 4 and 10 cleaners.
Here's how the main free options hold up as a commercial crew grows. User and site limits come from each company's own pricing pages; the spreadsheet row is my judgment from running crews.
| Crew size | Spreadsheet + WhatsApp | Connecteam free plan | ProTeams Free plan | Free trials |
|---|---|---|---|---|
| 1–4 cleaners, up to 3 sites | Works, if the owner checks every night. | Fits. Free for up to 10 users. | Fits. 4 mobile users, 3 active sites. | Full features, for a limited time. |
| 5–10 cleaners | Swaps and no-shows start slipping through. | Fits, until archived users push you past 10. | Over the limit. The Launch plan covers 10 field users. | The trial still ends. Jobber's runs 14 days. |
| 11–30 cleaners | Breaks. Nobody can hold every shift in their head. | Over the limit. Paid plan needed. | Over the limit. The Growth plan covers 30 field users. | Same: test, then pay. |
Two details in that table matter more than they look. Connecteam's free Small Business Plan counts archived users toward its 10-user limit, so in a business where cleaners come and go, you'll hit the cap with fewer than 10 people on the schedule. And Jobber's free trial runs 14 days on its Grow plan, no credit card required. A trial's for testing, not for running a business.
What does a spreadsheet and WhatsApp stop doing first?
A spreadsheet and WhatsApp stop telling you what actually happened. The schedule shows who was supposed to work, and the group chat shows who said they would, but neither one shows who showed up.
Picture an owner with 6 cleaners and two office contracts, one paying $4,500 a month and one paying $3,000. The schedule's a spreadsheet. Changes go in a WhatsApp group. Margins are thin, so a monthly software fee feels like money leaving for no reason. Fair enough.
Here's where it cracks. A cleaner swaps a Tuesday with a friend by private text. The spreadsheet still shows the original name. The friend doesn't make it, nobody's watching, and the property manager finds a full trash room at 7:30 the next morning. Nothing in the spreadsheet was wrong. It just never knew.
At 6 cleaners, the owner usually catches most of this by calling around. At 10, the calls take the whole evening. That's the point where "free" starts costing more than the software would. One lost $3,000 contract is $36,000 a year, which buys a lot of monthly fees.
What does the ProTeams Free plan include?
The ProTeams Free plan includes scheduling up to 30 days ahead, issue tracking, proof of service with downloadable verified photos, team chat, contract reminders, email notifications, and the iOS and Android app. It covers 1 back-office seat, 4 mobile users, and 3 active job sites, with no time limit and no credit card.
The limits, straight from the ProTeams pricing page:
- People. 1 back-office seat and 4 mobile app users.
- Sites. Up to 3 active job sites.
- Time. Scheduling 30 days forward, and 30 days of data retention.
- Storage. 5 GB.
Not included on Free: GPS and geofencing, real-time shift alerts, push and SMS notifications, client portal access, and analytics and reports. Those sit on the paid plans.
So for the 6-cleaner owner above, ProTeams Free doesn't fit. Four mobile users can't cover six cleaners, so he'd be looking at a paid plan from day one, or at a free option with a higher user cap. I'd rather say that here than have him discover it after setting up his sites. If you're comparing the two, the page on the Connecteam alternative walks through the differences in detail.
What do free plans leave out once you pass 10 cleaners?
Past 10 cleaners, free plans usually leave out the features that work when you're not watching: real-time shift alerts, GPS check-in, client portals, reports, and long-term records. They're what protect accounts at that size.
- Real-time shift alerts. Without them, you find a missed shift when you check the schedule, or when the client calls.
- GPS check-in. A check-in without location tells you someone tapped a button. It doesn't say where they were standing.
- A client portal. Without one, every "was it cleaned?" question comes to your phone.
- Reports. No view of who's late most often, or which site keeps missing tasks.
- History. Short retention means a dispute about a clean from two months ago has nothing behind it.
Some things no operations tool covers, free or paid. ProTeams doesn't run payroll, timesheets, or invoicing at any plan level; most BSCs run QuickBooks alongside their operations software for that. Plan for it either way.
As you add buildings, scheduling itself gets harder too. The guide to cleaning scheduling software covers what a multi-site schedule needs to show.
Can you download free cleaning business software?
Most cleaning business software runs in a web browser for the office and as a phone app for cleaners, so there's usually nothing to install on a computer.
If you searched for cleaning business software free download, what you'll usually find is a web signup and an app from the App Store or Google Play. That's better for commercial work: cleaners check in from their own phones, and nothing lives on one laptop that can break. Be wary of any cleaning business software program free to download from a site you don't recognize. Check who's behind it before you put client data in it.
How should a small cleaning company decide?
Decide by matching the free option to your crew size today and your crew size in six months. If you'll pass a free plan's limit within that window, start on the tool you'll grow into.
- Count users, not just cleaners. Include yourself, any supervisor, and anyone who might leave and stay archived.
- Write down your trigger. The 5th cleaner, the 4th site, or the first missed shift a client found before you did.
- Test paid features before you need them. Every paid ProTeams plan starts with a 21-day free trial, so you can run it on your real sites first.
- Move your data early. Switching tools at 15 cleaners is harder than switching at 6.

Frequently Asked Questions
Is there free janitorial software?
Yes. Some janitorial software offers a free plan with limits on users, sites, or features, and some offer a free trial of a paid plan. Janitorial software free plans usually include scheduling and task lists, and leave out real-time alerts, GPS check-in, client portals, and reports.
Does ProTeams have a free plan?
Yes. The ProTeams Free plan covers 1 back-office seat, 4 mobile users, and 3 active job sites, with no time limit and no credit card. It includes scheduling, issue tracking, proof of service, and team chat. GPS, real-time shift alerts, client portal access, and reports are on paid plans.
What's the best free option for a cleaning company with 6 to 10 cleaners?
At 6 to 10 cleaners, ProTeams Free is already past its 4-user limit, and 10-user free plans like Connecteam's fill up fast when archived users count. Many companies at that size either accept a spreadsheet's risks or move to an entry-level paid plan.
What's the difference between a free plan and a free trial?
A free plan has no end date but limits what you can use, such as users, sites, or features. A free trial gives you a paid plan's full features for a set period, then asks you to pay. A free plan can run a small operation; a free trial is for testing before you buy.
Start free, and know where the line is
Free software's a fair way to run your first few buildings, as long as you know which limit you'll hit first and roughly when. Count your users, write down your trigger, and upgrade before it costs you an account. If you're under 4 cleaners and 3 sites, start on the ProTeams Free plan by creating your account. If you're past that, book a demo and we'll show you what a paid plan does on your own sites.
